How the Numbers Work

A plain-English overview of the model — what a user is, what's included, and how pricing works as your team grows.

The plans above are our standard pricing for teams of up to 25 users — a flat monthly fee per user that covers the person, their primary computer, and their mobile phone, with 24/7 monitoring, Bitdefender security, and tested backups built in. A “user” is a person, not a device: additional computers, servers, and network gear are added at the management-only rates shown above (you own the hardware and licenses; Bitdefender licensing is the one thing included).
Worked example: a 10-person office with two shared front-desk machines on Core — 10 × $125 + 2 × $35 = $1,320/month, month-to-month. That’s the whole monthly service bill. Want market context? See our 2026 Indianapolis managed IT pricing guide. Every plan covers the full stack — managed IT support, IT infrastructure, and IT compliance — under one flat monthly fee.

More than 25 users? Your pricing gets better.

The rates above are list pricing for up to 25 users. Larger teams qualify for tiered volume pricing — the per-user rate comes down as you grow. Commit to a multi-year agreement and we can go further still. It's also worth asking what promotions we're running this month. Let's put real numbers to your environment.

FAQ

Frequently Asked Questions About Managed IT Pricing

  • How does managed IT pricing work at QOS MSP?

It's a flat monthly fee per user — $125 to $195 depending on plan, month-to-month — covering support for each person, their primary computer, and their mobile phone. Additional computers are $35 per month, managed servers are $95 per month, and managed network devices such as firewalls, switches, and access points are $25 per month each. All device rates cover management only — hardware and software licensing are separate. Security and tested backups are in every plan's base price, never sold as add-ons — though the storage and any redundant systems they run on are quoted separately, like hardware.

  • Is there a minimum number of users?

Yes. Plans start at 5 users. Below that, a managed plan usually isn't the right fit — we'll tell you honestly and point you toward better alternatives for your size.

  • Is there a setup or onboarding fee?

On month-to-month plans, yes — a one-time fee equal to one month of service covers the onboarding assessment, agent deployment, documentation, and your operation runbook. On an annual agreement, the onboarding fee is waived.

  • What is not included in the monthly fee?

Hardware, third-party software licenses such as Microsoft 365 or line-of-business apps, vendor subscriptions on network gear (firewall security services, switch and access-point licensing), extra backup storage and the redundant systems business continuity runs on (a second site, standby cloud capacity), and project work outside day-to-day management. Device fees cover management only — hardware and subscriptions are quoted up front, and you approve every quote before anything is billed.

  • What happens when we hire or lose employees?

Your bill adjusts to the new user count at the next monthly invoice. No change fees and no renegotiation — the per-user rate simply applies to however many people you have.

  • Do you require long-term contracts?

No. You can go month-to-month at standard rates, or choose an annual agreement to save $10 per user each month and skip the onboarding fee entirely. Either way, you're billed monthly.
